Automatically collected data
When you visit our website, certain data is collected automatically by our IT systems — primarily technical data such as browser type, operating system, and time of access (server log files). See section 4 for details.

We also collect personal data when you voluntarily provide it — for example, by filling in our collaboration request form. This data will not be shared with third parties without your explicit consent.
2a. Processing of Customer & Contract Data
We collect, process, and use your personal data only where necessary for the establishment, content, or modification of a legal relationship — i.e. your collaboration request and our working relationship. This is based on Art. 6(1)(b) GDPR (performance of a contract or pre-contractual measures) and, in some cases, Art. 6(1)(f) GDPR (legitimate interests).
We store data in the following categories:
- Customer master data (company name, contact person, address, phone, email) and billing data
- Master data of freelance partners (name, address, contact details) and collaboration notes
We process this data for the following purposes: providing our services, including project preparation, scheduling, production coordination, client communication, accounting, and invoicing.
Recipients & retention
Your personal data is received by Janina Ludwig, sole trader of Ludwig Film. We do not share your customer and contract data with third parties without your explicit consent, and we do not transfer data to third countries or international organisations. Data is deleted once the business relationship has ended, unless statutory retention obligations apply.
2b. Processing of Photo & Film Material
Photos and film recordings showing identifiable persons constitute personal data under GDPR. The use and publication of such material is governed contractually in advance for all persons appearing in our productions. Processing is based on Art. 6(1)(b) GDPR and, in some cases, Art. 6(1)(f) GDPR. Original files are retained in accordance with copyright law (§§ 64–70 UrhG).
3. Your Rights
You have the right to request, at any time and free of charge, information about what personal data we hold about you (including its nature, origin, recipients, and purpose). You may also request correction, restriction, or deletion of your data, and you may object to its processing at any time. Please contact us at the address provided in the Impressum.
Where processing is based on your consent, you may withdraw that consent at any time with effect for the future. The lawfulness of processing carried out prior to withdrawal is not affected.
You also have the right to data portability — to receive your data in a common machine-readable format.

Embedded videos via Vimeo
Our website uses plugins from Vimeo (Vimeo Inc., 555 West 18th Street, New York, NY 10011, USA). When you visit a page with a Vimeo plugin, a connection to Vimeo's servers is established, which communicates which page you visited and your IP address — even if you are not logged into Vimeo. Meta Pixel (formerly Facebook Pixel)
This website uses the Meta Pixel for conversion tracking. Provider: Meta Platforms Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland. The pixel allows us to track visitor actions after they click on a Meta/Facebook ad, enabling us to evaluate the effectiveness of our advertising and optimise future campaigns.
The data collected is anonymous to us — we cannot identify individual users. However, Meta stores and processes the data and may link it to your Facebook profile for its own advertising purposes, in accordance with Meta's data use policy: facebook.com/about/privacy.
Use of the Meta Pixel is based on your consent (Art. 6(1)(a) GDPR and §25(1) TTDSG), which may be withdrawn at any time. 4.1 Forms
Collaboration request form (Netlify Forms)
When you submit our collaboration request form, the data you enter — including your contact details — is stored for the purpose of processing your enquiry and any follow-up communication. We use Netlify Forms (Netlify, Inc., 2325 3rd Street, Suite 296, San Francisco, CA 94107, USA) to receive form submissions. Data is transmitted to and stored on Netlify's servers. Your data will not be shared with third parties without your explicit consent. Data is retained until you request deletion, withdraw your consent, or the purpose of storage has been fulfilled.
Appointment scheduling (HubSpot)
For scheduling calls and meetings, we use HubSpot (HubSpot Inc., registered in Delaware, USA, registration no. 3950045). Data entered via scheduling tools is transmitted to and stored on HubSpot servers. Since July 2021, HubSpot hosts all EU accounts in a data centre in Germany, with backup in Ireland — no transfer to US servers. HubSpot complies with GDPR. Processing of data submitted via forms on our website is based on Art. 6(1)(b) GDPR where your enquiry relates to the performance of a contract or pre-contractual measures. In all other cases, processing is based on our legitimate interest in effectively handling your enquiry (Art. 6(1)(f) GDPR) or on your consent (Art. 6(1)(a) GDPR) where obtained.
5. Objection to Marketing Emails
We hereby object to the use of contact data published as part of our legal notice obligation for the purpose of sending unsolicited advertising or information materials. We expressly reserve the right to take legal action in the event of unsolicited advertising communications, including spam emails.
